Leave of Absence

If you do not plan to enroll in courses or have TGR status for this quarter, you must file a Leave of Absence (LOA). The LOA may be for one or more quarters or may be for the entire academic year. LOAs require the approval of your academic department. Students whose F1 or J1 visa is sponsered by Stanford University must also have the approval of Bechtel International Center. Leave of Absence forms must be submitted by the first day of the quarter in order to avoid any tuition, room, board, or health fee charges for the quarter. Graduation Quarter

Registration is required for the term in which a student submits a dissertation or has a degree conferred. Students who meet the following conditions are eligible to be assessed a special tuition rate for the quarter in which they are receiving a degree:

  1. All course work and residency requirements have been completed.
  2. A graduate or professional student must have enrolled in the term immediately preceding the term chosen as the graduation quarter.
  3. The student has formally applied to graduate.
  4. The student has only to submit the dissertation or thesis or project by the deadline for submission in the term designated as the graduation quarter.
  5. The student has filed all necessary forms regarding graduation quarter before the first day of the term chosen as graduation quarter.

Students on graduation quarter are registered at Stanford and, therefore, have the rights and privileges of registered students. Only one graduation quarter may be requested for each degree program. There is a registration fee of $100 for the graduation quarter.

Health Insurance

All students are assessed a fee for Stanford's Cardinal Care health insurance plan. If you have alternative medical coverage, you must waive the health insurance coverage in Axess to avoid paying the health insurance fee. In Axess, go to "Health Insurance Waiver" in order to waive health insurance coverage. The waiver must be entered in Axess by September 15 (Autumn), December 15 (Winter), March 15 (Spring), or June 15 (Summer) quarter.

All graduate students who do not waive will be eligible for a health insurance subsidy based on fellowship or assistantship status. For more information, see http://cardinalcare.stanford.edu/.

International Students

Students whose F1 or J1 visa is sponsered by Stanford University are required to carry a full-time course load (12 units for Undergraduates, 8 units for Master's and Doctoral students or TGR/TMR status) in order to maintain their student visa status. Failure to enroll in classes on a full-time basis by the study list deadline could result in your visa being revoked and being deported from the United States. Contact the Bechtel International Center if you have any questions concerning your visa status and what you must do to remain eligible to study at Stanford.

UNDERGRADUATES

Undergraduates are required to enroll in a minimum of 12 units per quarter and a maximum of 20 units.

Enrolling in Independent Study Courses (also applies to Graduate Students)

Enrolling in independent study courses takes a few more steps than enrolling in a regular course. The reason for this is that independent study courses can be offered by a number of different faculty members. We need to know the name of the faculty member with whom you are doing the independent study so that the grade roster can be generated for the professor who will be grading you at the end of the quarter. Instructions for using Axess to enroll in an independent study course may be found at: http://www.stanford.edu/dept/registrar/Axess/Studenthelp/.

Declaration of Major

Students are expected to declare a major by the end of the sophomore year. Major declaration requests are submitted through Axess. The department will inform you when your request has been approved. You can also use Axess to declare minors and to express your intention to be in a departmental honors program. If you are a junior and have not yet declared a major, a hold has been placed on your record that will become effective Winter Quarter. You will not be able to enroll in classes for Winter Quarter until you have been approved as a major in an academic department and the hold has been removed from your record.

GRADUATE AND PROFESSIONAL SCHOOL STUDENTS

Most graduate students are expected to enroll for a minimum of eight units each quarter. Recipients of some forms of fellowships and scholarships are expected to enroll for a minimum of 11 units. In addition, some departments require that their students enroll for at least 11 units. If you have questions concerning how many units you should carry, contact your department.

Tuition Assessment for Graduate Programs

Graduate students will initially be assessed the 8, 9, 10-unit tuition rate. Students who enroll for 11-18 units will receive a revised bill after the study list deadline. Tuition increases on a per-unit basis above 18 units (above 35 units for M.D. students). The per-unit rate for graduate students is $773 except for Engineering students where the rate is $825.

All master's and Ph.D. students must receive consent from their academic department to enroll in fewer than 8 units and to be assessed a lower tuition amount. The form is available at: http://www.stanford.edu/dept/registrar/pdf/tuitadjreq.pdf

Terminal Graduate Registration (TGR) Status

Graduate students must be approved by their department for TGR status (including admission to candidacy for Ph.D. students) in order to be eligible to enroll in the TGR 801 or 802 course and to pay the TGR tuition rate of $2,760 per quarter.

Graduate students approved for TGR must enroll in their department's TGR course -- either 801 TGR Project or 802 TGR Dissertation. The titles of these courses may vary depending on your department.

Information about enrolling in TGR courses is available at: http://www.stanford.edu/dept/registrar/pdf/enroll_tgr.pdf

If you have policy questions regarding your TGR status, please see your department administrator for assistance. If the faculty section you are searching for is not in Axess, please contact your department so that they can inform the Office of the University Registrar that the faculty member will be available for supervision of your study this quarter.

If you have any questions, please call 650-723-2041 or stop by the information windows at 630 Serra Street, Suite 120.
