Conferral Date: the day your degree is awarded.
Commencement Date: the June graduation ceremony. Diploma Distribution Date: the day your diploma is available for pick-up or mailing. Obtaining Your DiplomaDegrees are conferred each quarter but diplomas are awarded once a year at departmental Commencement ceremonies held following the University ceremony in the stadium. Diplomas are available for pick-up or mailing on the diploma distribution dates listed below. Undergraduate Degrees:If you choose to attend your department ceremony as your diploma distribution option, then diplomas for undergraduate degrees are distributed to departments once a year at the June Commencement ceremony regardless of which quarter the degree was conferred. If you choose "Pick-up" or "Mail" as your diploma distribution option, then those diplomas are available for pick-up or mailing on the diploma distribution date listed below. Please note that UG distinction is only calculated once a year during the Spring Quarter. If you have received your diploma before Spring Commencement via mail or pick-up, and have since been granted distinction, then you will have to return your original diploma to the Student Services Center to be reprinted free of charge. Distribution Options:When you use Axess to apply to graduate, you are asked how you wish to receive your diploma:
Designate someone to pick up:If you select the pick-up option, you may designate someone in advance to pick up your diploma for you. Multiple diplomas:Since all departmental ceremonies are held concurrently, if you are a multiple major or will receive multiple degrees in different departments (e.g., coterminal or dual degree student), you must indicate which ceremony you plan to attend. You can pick up the other diploma at the Office of the University Registrar, 630 Serra Street, Suite 120, beginning at noon on Commencement Sunday, or elect to have the diploma mailed. Changes to distribution options:You can change your distribution choice until two weeks before the distribution date. Changes should be made in Axess by updating your application to graduate. How your name appears on the diploma:Your name as it appears on your diploma should be identical to your primary name of record in Stanford University's educational records. It is your responsibility to verify when you apply to graduate in Axess that the diploma name listed is correct, or to provide any changes required, including hyphens, spaces, lower/upper case letters, accents, etc. Changes to diploma names can be made by completing the Diploma Name Change form. You must obtain this form in person at the Student Services Center located at Tresidder Memorial Union, 2nd floor. The completed form should be submitted prior to the application to graduate deadline posted on the Academic Calendar. When will my degree show as awarded?The conferral of degrees is posted to your permanent record approximately seven days after the conferral date. Degree recipients who require evidence of conferral may order official transcripts to be issued after degrees are posted, or alternatively, may request a degree certificate (Enrollment Certification). Degree CertificationTo certify a conferred degree, you may order a degree certification. A degree certification is printed on official paper; certifies major, minor, field, departmental honors, conferred degree, conferral date, and enrollment status; and bears the signature of the Registrar. Distinction notations are printed on the certification after June Commencement. If you have another degree in progress, you may order a degree/enrollment certification in Axess. If you are finished with all your programs, you may order a degree certification at the Student Services Center located at Tresidder Memorial Union, 2nd floor. Alumni who are not in the immediate vicinity may request an enrollment certification by U.S. mail addressed to: Office of the University Registrar 630 Serra Street, Suite 120 Stanford, CA 94305-6032 Please provide your full name, your student ID, mailing address, and number of certificates required (5 maximum). Diploma HoldsPlease note that diplomas will be presented or mailed only if you have satisfied all your University academic and financial obligations. If you have any unmet obligations to the University, you will not receive a diploma or transcript until the obligation is fulfilled. June Commencement Diploma Distribution:If you have a tuition deferment for spring quarter, please note that you must make sure your final payment is received by the Student Financial Services by early May to ensure that an accounting hold will not be placed on your diploma and transcript. Similarly, degree candidates with student loans through Stanford must be sure to have attended an exit interview arranged by the Student Financial Services. You should receive information about scheduling that interview from the Student Financial Services in early May. If you have a Stanford loan and do not receive that mailing by mid-May, please contact the Student Financial Services. Use Axess to verify that you do not have a Student Financial Services hold on your diploma or transcripts and that an exit interview is not required by Student Financial Services. The deadline to release diploma holds for June Commencement ceremonies is Wednesday before Commencement Sunday. Replacement DiplomasStanford University will not issue duplicate diplomas under any circumstances. This measure is taken to protect Alumni from identity theft. If your diploma was permanently lost or destroyed, a replacement diploma may be ordered from the Office of the University Registrar. You must fill out the Replacement Diploma Form, have it signed by a Notary Public, and send it in with a check for the fee amount listed on the form. From the time of receipt of the form to issuance of the replacement takes 90 days. Incorrect DiplomasPlease contact the Diploma Office if you find any mistake on your diploma. Mailing Diplomas via FedexStanford offers the option to mail your diploma via FedEx domestic ($15.00) or FedEx international ($35.00). Both of these mailing options are assessed a fee. If you selected one of the FedEx distribution options for your diploma then you must mail a check made payable to “Stanford University” to the address below, or drop off your check in the Registrar’s Office drop box located outside of the Registrar’s Office.
